How Flooring Foundation Connected Takeoff to Billing with MeasureSquare CRM

When Flooring Foundation, a New Jersey-based commercial flooring contactor, began looking for a better way to manage bids, the team wasn’t expecting to help build a CRM.

But in 2022, that’s exactly what happened. Flooring Foundation became one of the first contractors to partner with Measure Square in the development of MeasureSquare CRM, a takeoff-integrated, flooring-focused CRM, testing the platform in its day-to-day work and providing feedback from the perspective of a commercial flooring contractor.

What began as a bidding platform eventually developed into a full CRM. Today, Flooring Foundation uses it to connect its workflow from the initial takeoff through billing, while giving teams a shared place to follow projects along the way.

Helping build a CRM for flooring contractors

When Kathy Palmer, Business Manager at Flooring Foundation, began evaluating new software, she was looking for a cloud-based, user-friendly way to manage bids that could connect with the Measure Square takeoffs the company already used.

Around the same time, Measure Square was developing a new bidding platform with a similar goal. Flooring Foundation was invited to test it and provide feedback as the product developed.

The timing was serendipitous. “We just knew that if Measure Square was going to invest in developing a product like this, they were going to see it through to fruition,” Kathy said.

Initially, the platform was designed primarily for managing bids. About six months into development, Measure Square expanded the concept into a full-blown CRM.

Flooring Foundation continued testing the platform throughout that evolution, using it in real-world projects and providing feedback to the Measure Square team.

“It was exciting and fun because we did get to test it out and use it and help them develop it,” Kathy said. “Since they've gone live and launched, we've worked very closely with the team.”

One of the changes Kathy noticed immediately was the ability to visually organize projects into pipelines and stages.

“I remember the buckets and being able to see things in that visual way, which made such a huge difference,” she said. “It gave you a lot more visibility to projects and what was going on.”

Connecting takeoff to billing

Today, MeasureSquare CRM connects multiple stages of Flooring Foundation’s project workflow.

A project can begin with a takeoff in MeasureSquare 8 and flow directly into MeasureSquare CRM. From there, teams can build the bid or customer quote and move the project through the appropriate stages as work progresses.

Rather than project information becoming disconnected as different teams get involved, employees can communicate, add notes and reference information within the same project.

The connection continues beyond the desktop. With CRM Mobile, the mobile app version of MeasureSquare CRM, employees working away from the office can access project information from their phones, including job details, updates and purchase order information.

“Our guys on the road like having CRM at their fingertips on their phone because they're not carrying around their laptops,” Kathy said. “If things come up on the fly, having access to the mobile app has been integral in their ability to do their jobs.”

At the billing stage, invoices created in MeasureSquare CRM can sync with QuickBooks Online, reducing duplicate entry between systems.

“Being able to sync QBO with MeasureSquare CRM has definitely saved us time and made the process much better,” Kathy said.

Together, those connections help project information travel with the job from the original takeoff through billing.

Bringing project information together

MeasureSquare CRM has become the hub for the company's projects. Project information that might otherwise be spread across different places can instead be associated with a shared project record. Pipelines and stages also give employees a clearer picture of where projects stand.

That shared visibility supports communication between the people involved throughout the project. “It's definitely helped as far as communication. Before, it was kind of just Excel spreadsheets and not really doing things that should be done just because we didn't have a way to really facilitate it.” Kathy said.

It also creates greater consistency in the way information is shared with customers. Bids, quotes, work orders and purchase orders can be sent through MeasureSquare CRM, helping Flooring Foundation create a more standardized customer experience.

“There is now an identity that everybody who works with us knows that when they get an email from us, it's in a standardized way, rather than how it used to be,” Kathy said.

A partnership that continues

Flooring Foundation’s role in MeasureSquare CRM did not end with the product’s launch.

Kathy and her team continue to provide feedback as they use the platform, bringing feature requests and other input to the Measure Square team.

“We've asked for a lot of things and they have made it happen over the last couple years,” Kathy said.

That relationship has also given Flooring Foundation a front-row seat as a product it helped test has continued to evolve.

“It’s been a great partnership,” Kathy said. “The responsiveness to our needs specifically has been great and always appreciated.”

What started as a search for a better way to manage bids has ultimately given Flooring Foundation a more connected way to manage projects.

“It’s been great to see it evolve,” Kathy said. “It's definitely helped us elevate and streamline our process from the takeoff all the way through billing.”
